Leads arrive through Telegram, other messengers, social media, email, and phone calls. As long as they live scattered across different places, some of them are guaranteed to disappear. Here's how to fix that for good.

Why leads get lost

The reason isn't carelessness. The reason is that human attention isn't unlimited. When requests are scattered across five different places, you simply can't hold them all in your head.

A typical scenario: someone writes on WhatsApp (a product of Meta, recognized as an extremist organization, its activity is banned in the Russian Federation), you glance at it, get pulled away, and by evening you've already forgotten. Or someone messages on social media at night, and by morning the message is buried under new ones. Or a manager says "I remember that one," and a week later it turns out they didn't.

Every lost lead like that isn't just an inconvenience. It's money that was almost already yours. The client was ready to buy.

The first-minute rule

The single most important rule in handling leads: the speed of your first reply affects the buying decision more than price or quality. A client who waited two hours in silence already considers you unreliable.

That's why the first reply should go out within the same minute, even if you're busy. It doesn't have to come from you personally: it can be an automatic reply confirming the request was received and clarifying the task.

A simple "Hi, we got your request, I'll reply within 15 minutes" is enough to keep a client engaged. Silence keeps no one.

Four steps to a single inbox

Step 1. Choose one collection point

You don't have to shut down your other channels. It's enough that they all funnel into one place you're sure to check. Most often that's Telegram: it's convenient, and notifications arrive instantly.

Step 2. Automate the first reply

A bot replies instantly at any hour, clarifies the task, and captures the contact. The person sees they've been heard and doesn't go looking for someone more responsive.

Step 3. Record every lead so it can't get lost

A lead needs to land in a list with a status: new, in progress, closed. With a date and an owner. As long as leads live inside chat threads, you can't see how many there are in total or how many are sitting without a reply.

Step 4. Set up reminders for stalled leads

If a lead has been sitting for more than a day with no movement, you should get a notification about it. This is one of the most useful small details in automation: it saves deals that everyone forgot about.

What to do about clients who disappear

They don't disappear because they changed their mind. They forgot, got busy, got distracted. A gentle reminder after a day and after three brings some of them back. Without automation, you simply won't remember to follow up.

How to check yourself right now

Open your correspondence from the last week and count three things: how many messages went unanswered, how many replies took longer than an hour, how many clients disappeared after their first message. These three numbers will show whether you have a leak, and how big it is.
